What Hawk Eye AI is

Hawk Eye AI is an automation agency for small and mid-sized businesses. It builds and manages custom systems that handle the repetitive, time-sensitive work that a small team cannot reliably get to: answering calls that come in during a job, following up on a lead the same day, keeping the CRM current without anyone typing into it, and moving a customer from first contact to booked appointment without a person having to remember each step.

Every build is custom. The systems are shaped around how a specific business already works rather than asking the business to reorganize around a product.

Why it exists

I spent four years running a remote bookkeeping practice serving more than 20 small business clients, which meant seeing a lot of small businesses from the inside, month after month. A pattern showed up repeatedly, and it had nothing to do with how hard anyone was working.

The work these businesses lost was almost never lost to a competitor who was better. It was lost to a phone that rang while everyone was on a job. To a quote that went out three days late because the evening it was supposed to be written got away from someone. To a customer who called twice, got voicemail twice, and called the next business on the list. None of that is a sales problem or an effort problem. It is a process problem, and process problems respond to systems.

That is the same conclusion I had already reached inside accounting, where the reliability of a close turned out to depend far less on how carefully people worked and far more on whether the process could run without any one person being available. Hawk Eye AI applies that idea to the front of a business instead of the back office.

What it builds

Missed-call and receptionist systems

A voice system answers calls the team cannot take, captures who is calling and what they need, and writes it into the CRM with the context attached. When a call is missed outright, an automatic text goes out immediately, so the conversation continues in a channel the caller is likely to answer rather than ending at a voicemail greeting.

Lead follow-up

New leads get a response on a schedule that does not depend on anyone being free. Speed matters more than polish here: a fast, plain reply beats a well-written one that arrives the next afternoon. Sequences stop the moment a person replies, so automation never talks over a live conversation.

CRM automation

Built on GoHighLevel. Records update themselves as things happen, pipeline stages move based on real activity rather than someone remembering to drag a card, and the tags that drive follow-up are applied at the point of contact instead of afterward.

Customer communication workflows

Confirmations, reminders, status updates, and review requests, sent at the right point in the job rather than in a batch at the end of the week. This is the category that most reliably reduces inbound calls asking where things stand.

Business workflow automation

The internal side: intake, scheduling, handoffs between people, and the small recurring tasks that quietly consume an afternoon a week. Usually the least glamorous work and often the most valuable.

Systems that stay maintained

Builds are managed rather than delivered and abandoned. An automation that breaks silently is worse than not having it, because the business stops checking the thing it replaced.
